Personal Data Protection Policy
With the Personal Data Protection Law No. 6698, as KAF Cultural Research and Activities Association and in our capacity as Data Controller, we are obligated to inform you that any personal information of KAF Cultural Research and Activities Association members, volunteers, volunteer candidates, trainers, speakers, panelists, trainees, workshop participants, scholarship recipients, donors, supporters, and all stakeholders, which is communicated to us in any way, will be recorded, stored, updated, and may be disclosed/transferred to third parties, classified, and processed in ways specified in the KVKK (Personal Data Protection Law) in cases where legislation permits and/or requires.
PERSONAL DATA
Personal data of the data subject includes:
- Name and surname
- Contact information such as phone number (home/work), address, email addresses, fax
- Gender
- Date of birth
- Education level
- Marital status
- Interests/satisfactions, complaints
- Social media preferences
- Likes and preferences
- Event participation or ticket purchasing habits and behaviors
- Payment information
- Education and work experience history/CV information/career goals
- Job title/profession/workplace
- Data including topics such as photographs that constitute general meeting and event visuals within the scope allowed by legal regulations
- Data including topics such as voices, images, and video recordings of trainers, speakers, and participants in all kinds of events such as courses, seminars, conferences, panels, workshops, etc.
METHODS OF COLLECTING PERSONAL DATA
Your personal data is collected verbally, in writing, or electronically, through automatic or non-automatic means, in connection with the transactions you make with KAF Cultural Research and Activities Association, and through the following methods:
- Online applications you make through the websites of KAF Cultural Research and Activities Association
- Your website visits, cookies used to identify you
- Use of social media channels and search engines such as Google
- Communication established at stands opened by KAF Cultural Research and Activities Association in universities, public spaces, and other environments
- Information forms, forms, and commitments filled out by members, volunteers, trainers, speakers, panelists, trainees, workshop participants, scholarship recipients, donors, supporters, and all stakeholders
PURPOSES OF PROCESSING PERSONAL DATA
The personal data of the data subject may be processed:
- To provide and make available to the data subject opportunities such as membership, invitations, benefiting from events
- To provide information about activities and content to be carried out
- To evaluate personal data and information in academic research and statistical studies without disclosing identity, to conduct analysis and audits to improve and develop the scope of activities
- To inform about the contents, opportunities, and innovations related to KAF Cultural Research and Activities Association's sponsors/supporters and events
- To provide information to the data subject about the information, events, and activities they may request
- To evaluate complaints and applications that the data subject may make
- To suggest new events and activities that may interest the data subject according to their preferences
- To arrange the tasks that the data subject will undertake and provide information about the tasks
- To remind the data subject of content and opportunities they liked, may want to access again, or would be pleased to be reminded of, based on the data subject's preference
- To record, store, and share on electronic media such as social media the audio, image, and video recordings of events where members, volunteers, trainers, speakers, panelists, trainees, and participants of all kinds of events will be present
- To share volunteer stories on social media, website, written and printed publications, etc.
- To transfer data for storage
- To copy/backup to prevent data loss
- To notify the data subject and send electronic messages about events owned by, supported by, or that KAF Cultural Research and Activities Association wants to announce
- To make donation requests
- For other purposes to be notified to the data subject at the time of obtaining the information
- To ensure the fulfillment of legal obligations as required or mandated by legal regulations
- And in other ways specified in the KVKK
- To carry out activities in line with the purposes and working subjects stated in the Association's Statute
- To organize, manage, and conduct events and related processes for Association members or representatives, such as general assembly meetings, working group meetings, commission meetings, summits, agenda meetings, and other member meetings
- To ensure communication between the Association and members on matters related to membership rights and obligations and to fulfill the relevant rights and obligations
- To promote the Association and provide information about the events held
- To determine and implement the Association's activities and services, and to carry out service policies
- To strengthen internal communication and cooperation within the Association
- To carry out internal reporting activities of the Association
- To inform members within the scope of Association activities
- To ensure the security and supervision of all facilities belonging to the Association
- To submit necessary information and documents to administrative institutions and organizations and courts upon their request
- To keep books and records stipulated to be kept by the Association under legislation
- To fulfill obligations under the Associations Law No. 5223, Associations Regulation, and other relevant legislation provisions
- To carry out legal processes related to members
- To copy/backup to prevent data loss
PERSONS / ORGANIZATIONS TO WHICH PERSONAL DATA MAY BE TRANSFERRED FOR THE PURPOSES STATED ABOVE
Personal data may be shared with persons or organizations permitted by the Associations Law and other legislation provisions, including but not limited to NGOs, public institutions and organizations, and real and legal persons operating in the private sector with which we are in mutual coordination to realize our association purposes, program partner organizations with which we cooperate to carry out our activities, domestic/foreign institutions and organizations, and other third parties.
The Association receives services from third parties for sending bulk emails and messages through all kinds of messaging applications. Your email addresses will be shared with the agency providing the service at the time of sending, within the scope of the Association's legitimate interest, provided that it does not harm your fundamental rights and freedoms, in order to send you emails about the Association's activities and events within the scope of Association membership.
In case of any dispute regarding the member's rights or obligations or membership with the Association, your Personal Data may be shared with the Association's lawyers, consultants, and relevant judicial authorities and enforcement offices to the extent and limited to the relevant dispute, within the scope of establishing, using, or protecting the rights of the data controller association.
If necessary for the Association to fulfill its data processing purposes mentioned above and its activities within the scope of the Association Statute, your data may be shared with third parties residing in Turkey, such as consultants, financial advisors, auditors, from whom the Association receives services, support, and consultancy, limited only to these, within the scope of the legitimate interest of the data controller association, provided that it is necessary for the establishment, use or protection of the rights of the association and does not harm your fundamental rights and freedoms.
In addition to those mentioned above, if required by legal and/or legal obligations under the legislation in force at the date of the relevant transaction or request, or if such a request is received from official institutions, your Personal Data requested by the authorities may be shared with relevant institutions and organizations or judicial bodies for the purpose of fulfilling legal or legal obligations.
RIGHTS OF THE PERSONAL DATA SUBJECT UNDER KVKK ARTICLE 11
As a personal data subject, you can request the following rights from KAF Cultural Research and Activities Association, which is the data controller, at any time in accordance with Article 11 of the KVKK. In this context, your rights are as follows:
- To learn whether your personal data is being processed
- To request information if your personal data has been processed
- To learn the purpose of processing your personal data and whether they are used in accordance with the purpose
- To know the third parties to whom your personal data is transferred at home or abroad
- To request correction if your personal data is incomplete or incorrectly processed and to request that this process be notified to third parties to whom your personal data has been transferred
- To request the deletion or destruction of personal data if the reasons requiring its processing have disappeared, despite being processed in accordance with the Law and other relevant law provisions, and to request that this process be notified to third parties to whom your personal data has been transferred
- To object to the occurrence of a result against you by analyzing the processed data exclusively through automated systems
- To claim compensation if you suffer damage due to unlawful processing of your personal data
Ways to Apply to the Association Regarding Your Rights
In this context, you can submit your request regarding your rights above to our email address provided below (which may change from time to time), via your registered electronic mail (KEP) address with a secure electronic signature, mobile signature, or using your email address previously reported to KAF Cultural Research and Activities Association and registered in KAF Cultural Research and Activities Association's system, or by hand delivering a wet-signed petition with documents proving your identity to our postal address given below (which may change from time to time) or by sending it through a notary public.
For your application to exercise your rights as a personal data subject, as mentioned above, the subject you request must be clear and understandable, the matter you request must be related to you personally, or if you are acting on behalf of someone else, you must be specially authorized in this regard and this authority must be documented, and the application must include your identity and address information.
